Accounting is usually the first function a growing organization outgrows.
Between $500K and $15M, the accounting function becomes too complex for a part-time bookkeeper and not yet large enough to justify a full in-house department. Responsibility gets divided across an office manager, an outside CPA and a software subscription — and the gaps between them are where reporting slips and compliance risk accumulates.
We own the function. Your team owns the business.
Each area below sits with us on a published schedule, with one point of accountability across all of it — the capability of an in-house department without the cost of building one.
Built for organizations between $500K and $15M.
We work with service organizations and MedSpas at the stage where financial accuracy starts to affect strategy — hiring plans, location expansion, lending conversations.
We know the mechanics of both models: multi-location payroll, membership and package revenue, inventory alongside services, and sales tax that varies by what was sold.
Tell us where things stand and what you need.
Everything the accounting function needs to do.
We take the function whole rather than in pieces. The pieces work best when one team owns all of them.
Payroll runs on your cycle and reconciles to the general ledger the same week — not at year end when the variance is a mystery. We handle new hires and terminations, provider and commission structures, multi-state registrations, and the tax liabilities that follow.
A published close calendar with a date you can plan around. Every bank, card, loan and clearing account reconciled; accruals and deferrals booked; intercompany and multi-location rolled up. You get a statement package and a short written note on what moved and why.
Vendor bills captured, coded to the right account, routed to you for approval, and paid on terms — never early, never late. On the other side, we watch the aging and chase what's slipping. You keep invoicing; we keep it collected and keep you out of the awkward emails.
We own the mailbox: vendor statements, payment questions, agency notices, W-9 requests, the invoice a technician forwarded from their phone. Things get answered, filed where they belong, and escalated to you only when a decision is genuinely yours.
Sales tax registered, calculated, filed and remitted everywhere you have nexus — including the product-versus-service split that trips up spas. Contractors are tracked and W-9'd through the year, so 1099 season is a review instead of a reconstruction. Annual filings and registrations stay current without you tracking dates.
We build the budget with you and enter it into your software so actuals report against it automatically. When auditors or lenders come, we prepare the schedules and answer them directly. And because we're inside the workflow every day, we see where it's breaking — so we fix the process instead of absorbing the friction forever.
Ninety days from handoff to steady state.
Here is exactly what happens during onboarding, and what we need from you at each step.
A working session with your leadership team and a full review of the books, the software and the workflows. We document who owns what today, where reporting breaks down, and which obligations are being met by attention rather than by process.
Unreconciled accounts cleared, the chart of accounts rebuilt if it needs it, open AP and AR verified, and prior-period gaps documented. You'll know exactly what we found before we build anything on top of it.
Close calendar published. Approval routing configured. The accounting inbox pointed at us. Payroll, bill pay and sales tax move onto our schedule, documented so the process doesn't live in anyone's head.
Two full cycles on our calendar. By the second close the package arrives without being asked for, the inbox is quiet, and the monthly review is a conversation about the business rather than a hunt for numbers.
Nothing leaves us on one person's judgment. Work is prepared, reviewed by a second team member, and signed off by a partner before financials reach you. We also cross-train across accounts, so more than one person knows how yours runs — the close still happens on schedule when someone is out.
How we work.
We take ownership of the accounting function, understand where the organization is headed, and bring you what needs attention before it needs a decision.
We work inside your organization, not alongside it.
We work in your accounting software rather than a parallel copy of it. Your vendors correspond with us directly, your team brings us questions directly, and answers come back the same day. Working inside your systems is what makes ownership possible.
That proximity is what lets us surface the receivable before it ages past ninety days, the registration required before you open in a new state, or the payroll code misclassifying overtime — while each is still a decision rather than a problem.
Three partners, and the team behind them.
